We're seeking a highly organized and proactive Executive Assistant to provide shared support to our CFO, CMO and Chief People Officer. This role is essential to maximizing efficiency and outcomes for these leaders by managing calendars, coordinating travel, handling expenses, assisting with events, managing special projects and coordinating with other EAs and internal stakeholders. The ideal candidate is detail-oriented, thrives in a fast-paced environment, and can anticipate needs before they arise.
What You’ll Do
- Manage and maintain the calendars, including scheduling meetings, appointments, and travel commitments, and resolving meeting conflicts.
- Coordinate complex domestic and international travel itineraries, logistics, and accommodations.
- Process and track expense reports and reimbursements with accuracy and timeliness.
- Support some company and executive-level events—planning, logistics and onsite coordination.
- Contribute to the company's master calendar as it relates to your client’s involvement.
- Drive completion of small projects and initiatives as assigned.
- This person will also serve as an extension of the executive’s brand with internal and external stakeholders, which makes optimism, enthusiasm and hospitality core traits to be evident in verbal and written communication.
- Build strong cross-functional relationships to streamline communication across teams.
- Maintain strict confidentiality and discretion in all interactions and information handling.
Requirements
- 5-7 years of experience as an Executive Assistant supporting senior executives in a fast-paced corporate or technology environment; 10+ years total in administrative or operations roles.
- Exceptional organizational and multitasking skills with a proven ability to manage competing priorities.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite, Google Workspace, and common collaboration tools (e.g., Slack, Asana, Zoom).
- Experience coordinating travel and managing complex schedules across multiple time zones.
- High level of integrity, professionalism, and reliability.
Physical Requirements
The physical demands described here are representative of those that must be met to successfully perform the essential functions of the job. Ability to sit, stand, bend, reach, climb, and move about regularly throughout the day and lift / carry up to 25 pounds. Must have manual dexterity to operate standard office equipment.
Work Environment
- This role is **on-site** at our Denver, Colorado location, 4 days per week in-office.
- Occasional early or late hours may be required to support executive travel or major company events.
- Infrequent travel may be requested to support events or other activities.
