About Overwatch:

Overwatch Imaging is automating the collection, analysis, and delivery of time-critical geospatial intelligence for missions that matter. Overwatch AI software automatically manages airborne sensors through smart pointing commands, automated detection of objects of interest, and computer-generated reporting of collected intelligence outputs for communications-efficient reporting. Overwatch smart sensors are multi-camera, multi-spectral stabilized airborne payloads designed for automated operation by edge computers rather than human sensor operators. Together, our capabilities enable life-saving agencies to scan wide areas and find small objects of interest, faster and more efficiently than with human-in-the-loop systems, so our customers can focus less on the search and more on the best response.

About this Role:

Overwatch Imaging is seeking a highly motivated full-time Operations Associate to help bring order to chaos and keep our team organized, focused, and aligned. This is a generalist role and you will be exposed to the inner workings of an early stage defense-tech startup. You will work daily with the CEO and will have ownership over the design and execution of projects and initiatives.

While this is not an executive assistant role, you will be responsible for administrative and office management tasks, in addition to all other tasks. This role is aimed at those who want to join a fast-paced startup at the ground level and help to build it into a billion dollar business. As a deep tech startup, we expect you to draw from your individual and collective experience to implement innovative solutions and iterate based on direct feedback and intuition about company and office needs. You will work on-site in Hood River out of our headquarters.

The ideal candidate will be able to learn quickly, is highly detail-oriented, and takes pride in the quality of their work. Additionally, they should be fascinated by the ins and outs of the imaging and artificial intelligence industry — while previous industry experience is not required, enthusiasm for the field is, because you’ll be learning a ton and we believe that passion about our domain drives excellence.

What You’ll Do:

  • Manage Overwatch HQ as the first point of contact for visitors and employees, and liaise with building management
  • Conduct daily, weekly, and monthly billing, payroll, benefits, and financial tasks such as tracking down receipts and approving expense reports in coordination with our outsourced HR and Finance services providers
  • Monitor export compliance work with our outsourced Export Compliance advisor, and support a team that is moving fast with licenses, carnets and documentation
  • Lead purchasing efforts for equipment and office supplies, conducting research and providing recommendations to the CEO, then execute and manage delivery and setup
  • Lead stocking and management of food and beverages at the office, and procurement of any items that are needed for events at the office or at company events
  • Process all incoming and outgoing mail and direct to appropriate departments or external business operations providers
  • Support recruitment and hiring efforts by drafting job descriptions, sourcing talent, and completing onboarding paperwork
  • Support proposal, marketing and content efforts as copy-editor and creative participant at the guidance of the Director of Marketing and Business Development leads
  • Support marketing initiatives by creating content from vast datasets and experiences from our team
  • Support trade show calendar by preparing materials, organizing logistics, and attending events on behalf of Overwatch
  • Prepare presentations and documents for the CEO and team to use in meetings with customers, prospective customers, partners, and the board
  • Schedule demos, book meetings, and manage travel for leadership team, helping ensure we’re making the best use of time
  • Join meetings with colleagues to take notes, manage presentations and other A/V needs, track action items and ensure follow-up is completed
  • Manage email correspondence with customers and partners in a professional, timely, and savvy manner to ensure Overwatch is always putting our best foot forward

What You’ll Bring:

  • Experience: This role is aimed at those with at least 3 years of relevant experience, but we’re flexible on what that experience might look like. This role would be a great fit for a recent college grad with some customer-facing work or volunteer experience. Additionally, we're open to non-college graduates or those who have more experience who are looking to reenter the workforce or make a career change into the technology sector.
  • Technology: Familiarity with the MS office suite and standard email, calendar, file saving and sharing practices. Ability to learn new tools and technologies. You don’t have to be an engineer, but we are a tech company and we do use a lot of software. We’re looking for you to research and recommend new platforms for various functions, and adapt to the technologies we already use.
  • Professionalism: Respectful and clear communication over email, phone calls, and in person. You should be comfortable and capable of cold-calling leads, negotiating with vendors over email, and chatting with office visitors.
  • Discipline: In this role, the CEO and other team members will find you a critical asset to ensure effective communication and efficient business continuity. You will take things off their plate and proactively see what more you can do. The CEO and leadership team travels frequently. It is critical that you are a self-starter, and confident in your ability to self-manage. You will receive direction about what needs to be done but not always direction about what to do next.
  • Adaptability: Ability and enthusiasm to identify gaps and fill them, take a project and run with it, and execute administrative tasks that keep the company successful. Your role will shift a lot from month to month, and we’re looking for someone who is okay with ambiguity. You need to be able to manage your time and responsibilities, ask for help when you need it, and say no when your plate is full – while trying to say yes most of the time.
  • Enthusiasm: It is critical that you’re committed to encouraging the team and learning as much as possible about the defense-tech industry and the way our technology works. You will become an expert evangelist for Overwatch and a master of running a dynamic business. This is not a clock-in, clock-out role!
