We are seeking a proactive, trusted and effective Senior Executive Assistant with extensive experience supporting C-level executives, ideally in dynamic, fast-paced environments.

About the role

This role requires exceptional discretion, judgment and professionalism, while representing the CFO and Zillow with internal and external stakeholders. The ideal candidate is a strategic partner who can anticipate needs, manage complexity, solve problems independently and deliver results with precision and efficiency. They also guide, mentor, and elevate finance organization assistants and the broader administrative community through inclusive, engaged leadership.

Responsibilities include:

  • Executive Partnership: Serve as a trusted strategic partner to the CFO, ensuring time, information and priorities are aligned with business goals.

  • Stakeholder Management: Act as liaison with the CFO’s direct reports, cross-functional leadership and external stakeholders to ensure smooth communication and execution.

  • Calendar & Travel: Manage complex and dynamic calendars, travel planning and logistics, including international and multi-leg trips, with meticulous attention to detail and foresight.

  • Meeting & Event Planning: Lead planning and coordination of key meetings, all-hands sessions, offsites and Board-related engagements; support material development and follow-up actions.

  • Communication & Representation: Represent the CFO with professionalism and discretion in all internal and external engagements.

  • Information & Project Management: Develop and manage executive briefing documents, reports, decks and data analysis with minimal direction; track and follow through on key deliverables.

  • Process Improvement: Design and implement scalable administrative and operational processes that promote communication, alignment and operational excellence across functions.

  • Procurement & Budget: Oversee large purchases, vendor coordination and procurement processes in partnership with Finance and Legal.

  • Team Leadership: Provide mentorship and informal leadership to other Assistants within the Finance organization; coordinate coverage planning and support team development.

  • Anticipatory Support: Proactively manage upcoming needs, identify gaps and initiate solutions before issues arise.

  • Special Projects: Take ownership of special projects or priorities as they arise, collaborating with internal stakeholders to ensure successful outcomes.

  • Cross-functional Collaboration: Build strong internal partnerships and coordinate work efforts across teams and business units.

  • Travel: Role may require up to 25% travel annually.

This role has been categorized as a Remote position. “Remote” employees do not have a permanent corporate office workplace and, instead, work from a physical location of their choice, which must be identified to the Company. U.S. employees may live in any of the 50 United States, with limited exceptions.In California, Colorado, Connecticut, Hawaii, Illinois, Maryland, Massachusetts, Minnesota, Nevada, New Jersey, New York, Rhode Island, Vermont, Washington state, and Washington DC the standard base pay range for this role is $105,900.00 - $169,100.00 Annually. This base pay range is specific to California, Colorado, Connecticut, Hawaii, Illinois, Maryland, Massachusetts, Minnesota, Nevada, New Jersey, New York, Rhode Island, Vermont, Washington state, and Washington DC and may not be applicable to other locations.In addition to a competitive base salary this position is also eligible for equity awards based on factors such as experience, performance and location. Actual amounts will vary depending on experience, performance and location.

Qualifications and Skills:

  • Minimum of 10 years of experience supporting senior-level executives, including C-suite and Board interactions.

  • Proven ability to build trusted relationships and operate with discretion, diplomacy and professionalism.

  • Skilled in anticipating needs, proactively solving problems and handling ambiguity with calm and focus.

  • Adept at managing priorities in a rapidly changing environment, with strong project and time management skills.

  • Strong communication skills with the ability to influence and collaborate across all levels.

  • Demonstrated ownership of strategic calendaring, stakeholder communications and high-stakes event planning.

  • Passion for operational efficiency and process improvement; experience driving systems and tools that enable scale.

  • Comfortable navigating confidential and sensitive materials with utmost integrity.

  • Proven ability to partner, lead and mentor peers.

  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Google Workspace, and productivity tools (e.g., Workday, Zoom, Slack, ChatGPT).

  • Candidates located in the Seattle, WA area preferred.

  • Bachelor’s degree preferred.
