The Hero Kids Foundation is committed to supporting the children of First Responders, the Military, and their families. Our multidisciplinary approach leverages animal-assisted therapies and nature-based activities to foster hope, confidence, and self-worth. We proudly serve and enrich the families that serve at home. This is a Hybrid position requiring the selected Administrative Assistant to work in office at their Suffolk, Virginia location a minimum of 2 days/week.

Key Responsibilities:

  • Report directly to the Executive Director
  • Provide administrative support to ensure smooth office operations.
  • Coordinate communications with the Executive Director, Board President, Chair of the Board Advisory Committee, staff, and key stakeholders.
  • Send reminders to board members about upcoming events and meetings.
  • Assist with event planning specific to HKF staff activities.
  • Assist the board secretary with meeting minutes.
  • Oversee website store and "Core of Four" Program inventory and ordering.
  • Handle receipt management, monthly reporting, calendar updates, email management, and attend and document staff meetings.
  • Answer phone calls, schedule meetings, and support visitors with a polite and professional demeanor.
  • Carry out administrative duties like filing, typing, copying, binding, and scanning.
  • Contribute to team efforts and ensure timely results.
  • Maintain records of equipment maintenance completion and history.
  • Accounting / Bookkeeping Requirements and Skills: Knowledge of QuickBooks for Nonprofits and standard bookkeeping practices.

Position schedule will be discussed throughout the interview process however the ideal candidate will be able to work morning-afternoon hours. Schedule is open for discussion with the selected hire!

Qualifications:

  • Minimum of 3 years of experience as an Administrative Assistant.
  • Knowledge of office management systems and procedures.
  • Proficiency in Google Office products, MS Office, and Adobe Acrobat.
  • Excellent time management, attention to detail, and problem-solving skills.
  • Exceptional written and verbal communication abilities.
  • Strong organizational skills with the ability to juggle multiple tasks.
  • High School diploma or equivalent education.
  • Valid driver’s license.

Initial onboard will be at Hero Kids Foundation Front Office in Suffolk, VA *5 (five) days a week for the first two weeks, thereafter a minimum of 2 (two) days a week at Hero Kids Front Office
