Role Overview: We are seeking a detail-oriented and organized EA to support our growing defense technology company. This role involves managing HR-related tasks, procurement of parts and components, scheduling assistance, and overseeing insurance, rent, payments, and expense reporting. The ideal candidate is proactive, highly organized, and capable of maintaining confidentiality and professionalism.

This person should have an extreme attention to detail and take pride in their work. This is a key role at Aurelius Systems that will enable our team and operations to grow aggressively in the coming years.

Key Duties and Responsibilities

HR and Administrative Support:

  • Execute routine HR duties, including maintaining employee records, assisting with onboarding processes, and managing documentation.
  • Manage calendars, schedule meetings, and coordinate appointments to streamline team operations.
  • Handle phone calls, emails, and correspondence professionally and efficiently.

Procurement and Inventory Management:

  • Regularly order parts and components, ensuring accurate tracking and timely delivery.
  • Maintain inventory of office supplies, parts, and components, replenishing stock proactively.

Financial Administration:

  • Manage insurance policies, rental agreements, and periodic payments to ensure timely processing.
  • Review and track expenses, assisting in preparing expense reports and supporting budget management.

Office and Organizational Support:

  • Organize files, maintain databases, and assist in preparing reports and presentations.
  • Ensure the smooth operation of office equipment and facilities.
  • Collaborate across departments to enhance communication and workflow efficiency.

Travel and Event Coordination:

  • Arrange travel accommodations and itineraries for staff and executives.
  • Assist in planning and organizing company events, meetings, and conferences.

Confidentiality:

  • Handle sensitive and confidential information with discretion and professionalism.

Qualifications

Experience:

  • 2+ years of experience in EA and/or Admin roles

Technical Skills:

  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and Google Workspace.
  • Experience with procurement processes and basic financial administration.

Soft Skills:

  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks, manage time efficiently, and adapt to shifting priorities.

Nice-to-Haves:

  • Previous experience handling HR-related duties.
  • Familiarity with expense tracking software and budget management.
  • Prior experience in defense, aerospace, or technology sectors.
  • Experience with scheduling software or tools (e.g., Calendly, Outlook Scheduling Assistant).

Work Environment:

  • We work 6 days a week, with one saturday off a month.
